This is a Superstar role for our Bogota office, working closely with the international team in the Czech Republic and contributing to global initiatives. You will ensure smooth daily operations, efficient office management, and accurate order processing while supporting the full employee lifecycle. This includes both HR operations and back office activities, overseeing administrative processes, coordinating internal events, and contributing to employee wellbeing. The role is critical for maintaining an organized, productive, and globally connected work environment.

Your responsibilities 

Back Office Agenda (approx. 50%) 

Facility & Office Management 

  • Oversee office layout, equipment, and workplace functionality

  • Ensure employee wellbeing (e.g., coffee/snacks availability, comfortable workspace). 

  • Identify and resolve maintenance issues or coordinate external repair providers

  • Manage onsite service providers (cleaning, security, maintenance vendors). 

  • Communicate with building owners regarding operational matters

  • Prepare and report operational and capital expenditure (OPEX/CAPEX). 

Order Processing 

  • Process Safetica orders based on purchase orders and enter them into internal systems

  • Ensure accurate and timely data input

  • Communicate with partners to confirm order details and resolve discrepancies

Daily Operations 

  • Handle general administrative tasks across the company. 

  • Manage delivery and dispatch of packages and letters. 

  • Provide accommodation and travel support (hotel bookings, flights, etc.). 

  • Manage onboarding/offboarding logistics, including planning and purchasing IT hardware

 

People Operations & HR Support (approx. 50%) 

Employee lifecycle & Administration 

  • Manage onboarding, role changes, and offboarding processes. 

  • Perform HR administration and maintain employee records

  • Administer employee benefits

  • Organize relevant training and development programs

Internal communication & Events 

  • Organize internal events and team-building activities

  • Participate in internal communication activities (announcements, content preparation, messaging). 

  • Support internal strategic projects and process improvements. 

Employee relations 

  • Build and maintain positive relationships with employees

  • Address concerns, help resolve misunderstandings, and contribute to a healthy work environment

 

What are we looking for

Education & Languages 

  • High school diploma required; a degree in Business Administration, HR, or a related field is preferred

  • Fluent English and Spanish (written and spoken)

Experience 

  • Experience in office administration, back-office operations, facility management, or HR support

  • Previous experience with onboarding/offboarding processes and HR administration is highly advantageous

  • Experience with event organization or internal communication is a plus. 

Technical skills 

  • Proficiency in MS Office (Excel, Word, Outlook). Experience with HRIS, ERP, or operational systems is a plus

Soft skills 

  • Excellent organizational and time-management skills

  • High attention to detail and accuracyProblem-solving mindset with proactive approach

  • Ability to maintain confidentiality and handle sensitive information
